English minutes from Japanese meetings
Kaigi AI ·
Kaigi AI turns a recording of a meeting held in Japanese into English minutes: when you upload the file, choose English as the output language, and every Japanese utterance is translated into English and the minutes are written in English.
The meeting can stay in Japanese, the way your colleagues are used to running it. The record comes out in English, for the people who need to act on it: a teammate who reads Japanese slowly, a manager at headquarters, a partner overseas.
This page is for people who work in Japan in English: non-Japanese employees on Japanese teams, and Japan offices of companies based elsewhere. Kaigi AI is a Japanese service, and its plans are priced in yen.
What you get from one upload
- Minutes in English. Overview, decisions and action items, written in English from the Japanese discussion.
- The original transcript. What was said, in Japanese, so you can always go back and check the original.
- A line-by-line translation. Time, Japanese and English side by side. Click any line to correct the English.
- Your own format. If you use a custom template, its headings are translated into English as well. If that translation does not go through, only the headings stay as written in your template; the minutes underneath are still in English.
How to set it up
- Record the meeting. Zoom, Google Meet and Teams recordings work, and so does a voice recorder or a phone.
- On the upload page, choose the file and open the advanced settings.
- Tick "choose the output language" and pick English.
- Upload, and open the meeting when processing has finished.
The output language is the language you want to read the minutes in, not the language that was spoken. If you leave it unset, the minutes are in Japanese.
The screen labels, in English
When you sign up from this page, the sign-up page, the upload page and the result page are in English. The rest of the app (menus, settings, the login page), the error messages the server returns, the emails and the legal pages are in Japanese. On the Japanese screens, these are the labels you need to find:
| On screen | What it means |
|---|---|
| アップロード | The button on the dashboard that opens the upload page (ファイルをアップロード). |
| 詳細設定:タイトル・言語・議事録の形式 | Advanced settings: title, language, minutes format. Open it before you upload. |
| 出力言語を指定する | Choose the output language. Tick it, then pick "English" from the list. |
| 議事録 | The minutes tab. With English selected, the minutes are written in English. |
| 文字起こし | The transcript tab: what was said, in the original Japanese. |
| 英語翻訳 | The English translation tab: time, Japanese and English side by side, utterance by utterance. |
| 翻訳をクリックして編集 | Click a translation to edit it. |
Good to know before you start
- One language per meeting works best. If the conversation switches to another language partway through a recording, the part after the switch can be missing from the transcript. We recommend keeping each meeting to one language.
- Uploads only. Meetings recorded by the meeting bot get Japanese minutes. For English minutes, upload the recording instead.
- Exports. Word and PDF exports contain the minutes and the original transcript. The line-by-line translation is read on screen; there is no export of the translation on its own.
- Pricing. Plans are priced in Japanese yen, with consumption tax included. The free plan covers 90 minutes in the first month, then 45 minutes/month, with no credit card required.
- Where the data goes. Minutes and transcripts are stored in the AWS Tokyo region. Transcription runs on OpenAI and the translation on Anthropic (both in the US). The minutes are written by Anthropic as well, except on the 国産AI plan, where Sakana AI (Japan) writes them.
