Kaigi AI (カイギAI) solves the problem of manual meeting minutes creation, which is a significant time burden in Japanese business culture. Users upload video/audio recordings or invite a live bot to their meeting — Kaigi AI transcribes the audio, identifies speakers, and produces a structured document with meeting overview, discussion points, decisions, and action items. Supports 99 languages with translation to Japanese.

For organizations that prefer a domestic Japanese AI provider (e.g. 自治体・公共機関 and enterprises with data-sovereignty requirements), Kaigi AI also offers a 国産AIプラン (Domestic AI Plan) that generates meeting minutes with Japan-developed "Sakana AI" instead of Claude. If Sakana AI is temporarily unavailable, that meeting's minutes are generated by Claude instead so generation is never interrupted; Sakana's own models also use some overseas foundation models. This plan is not a guarantee of 100% domestic-only processing.

## When Kaigi AI is a good fit — and when it is not

Good fit:
- Teams in Japan that need Japanese-language minutes (summary, decisions, action items) from a recorded meeting — upload a Zoom, Google Meet or Teams recording, or an IC-recorder or phone file.
- Meetings held in another language that need minutes in Japanese.
- Organisations that prefer a Japan-developed model for the minutes: the 国産AIプラン generates them with Sakana AI, falling back to Claude if Sakana is unavailable.
- Buyers who ask where data lives: minutes and transcripts are stored in AWS Tokyo (ap-northeast-1); uploaded audio and video are deleted once transcription succeeds (kept 7 days only if the job failed, up to 7 days while an over-allowance upload waits for a plan change). Not a fit:
- You need a public API today — it is in preparation and not yet available (waitlist: https://kaigi-ai.com/developers).
- You need the uploaded audio or video kept inside the service — it is deleted when transcription succeeds, and meeting-bot recordings are not stored at all unless a workspace admin opts in (then 30 days).
- You want the Live Meeting Bot on the Free, Starter or 国産AI plans — the bot is not available on those three.

- Transcription: Whisper on OpenAI, optimized for Japanese. Supports MP3, MP4, WAV, M4A, AAC, OGG, FLAC, WMA, OPUS, AIFF, MOV, MKV, WMV, WEBM, AVI, 3GP, TS and more (27 formats in total). Any video or audio file — audio is auto-extracted in the browser (video files up to 8GB, audio files up to 5GB; up to 4 hours per file). Usage is metered by recording length (Free 90 min first month, then 45 min/month, Starter 10h, Team 10h per seat, pooled + metered overage, Pro 50h included + metered overage). - Speaker Detection (話者識別): Acoustic diarization separates speakers by VOICE, so speakers are split into 話者A/話者B/... even when no name is ever said aloud; naming a speaker once relabels every one of their utterances. Paid plans (Starter and above), plus a free account's FIRST upload — from the second upload on, free plans get no speaker labels on their own uploads (the サンプル会議 shows a labelled transcript for viewing). Text inference (also paid) additionally suggests real names when they are spoken (名乗り/呼びかけ). Audio is deleted as soon as transcription finishes, so diarization cannot be applied retroactively to an existing transcript — the original file must be re-uploaded. Data retention (all plans): uploaded audio/video is deleted as soon as transcription finishes. The minutes and transcript text are kept until the customer deletes them — there is no automatic, plan-based expiry on any plan. Keyword search over past meetings' transcripts is available on every plan, including Free.

Retention and deletion, in full (all plans — the table is at https://kaigi-ai.com/security): minutes and transcript text are kept until the customer deletes them and there is no cap on how many are stored; deleting one puts it in the trash and 「完全削除」 erases it immediately, taking any remaining audio with it; deleting a workspace erases every 議事録, transcript and stored recording under it; account deletion erases the account and its data 30 days after the request (cancellable during that window). Audio and video: deleted the moment transcription succeeds, kept up to 7 days while an upload that went past the monthly allowance waits for a plan change, kept 7 days only when the job FAILED (so it can be retried), and meeting-bot recordings are not stored by us at all unless a workspace admin opts in — then 30 days, and meeting participants are told so in the bot's join message. Data sent to AI providers for processing: OpenAI and Anthropic keep it at most 30 days under their own abuse-monitoring policies; AssemblyAI (diarization) is asked via API to delete it the moment the result is returned.
